Verify your email first

Do this before sending a nomination form by email or text.

  • Go to Admin > Users, open your user profile and then the email address record.
  • Select Verify and complete the verification prompt in your inbox.
  • Confirm the email is verified before you send a nomination form by email or text.

Create the install or job record

Set up the customer, property, scheme and installer details accurately.

  • Open Install > New Quick Installation. Reuse the existing customer record if it is already in Alitsy.
  • Select the property type, enter the address, sales source and lead source, then add the primary contact name, email and mobile number.
  • Select the correct scheme, such as HEER / HVAC for a residential job. Assign the installer or installers, enter the actual installation activity date and end date, then select Assign.

Add the installed or replaced product

Match the Alitsy product exactly to the equipment on site.

  • Select Add New Product, then choose the correct product and whether it is a New install or Replacement. A replacement is one in, one out.
  • Add the area or location to keep the evidence organised. Add the product price for internal records if required.
  • Leave Off Scheme as No unless that item is not being claimed. Confirm the product code and model match the installed equipment and check eligibility before continuing.

Capture the customer signature

Give an in-person signature time to save.

  • For an in-person signature, open the signature screen and have the customer sign with their finger.
  • Wait the full 5 seconds before closing or moving away, then confirm the signature has saved.
  • If it did not save, return and correct it before submission. Use the method that suits the customer, provided the complete signature is recorded.

Answer every job eligibility question

Keep each answer truthful, complete and consistent with the evidence.

  • Answer all compliance questions, including upgrade status, whether a fridgie is on site, additional electrical work, network connection and real estate involvement.
  • Use the customer’s electricity bill as the preferred source for the NMI, or ask the customer. Do not rely on the meter board if the NMI is missing or unclear.
  • Answer government reporting questions honestly, including payment status, current licensed-electrician documentation, and whether the testing and commissioning dates match. Add the refrigerant bottle ID when required.

Complete DCCEEW contract details when applicable

Only complete these extra fields for a qualifying DCCEEW contract job.

  • For a qualifying DCCEEW contract job, enter the removed unit’s year of manufacture, whether it was in a newly built house, and the removed and outdoor unit brand and model where known.
  • Before submitting a DCCEEW contract job, confirm clear evidence of both existing indoor and outdoor nameplates is attached and the rebate amount is shown separately on the customer invoice.
  • Do not guess information from a faded or unreadable plate. Record the available evidence and contact the Electric Future team for the current process.

Follow the CCEW process

Electrical compliance documentation must be completed by the licensed electrician under the current team process.

  • Follow the current Electric Future process for the licensed electrician’s CCEW documentation. If you are directed to prepare it in Alitsy, select the correct work type, tests and equipment details.
  • Check the air conditioning rating, system type, circuit details, quantity and description. Confirm the required yes or no fields, then select Generate CCEW when authorised.
  • The licensed electrician must lodge the CCEW through Alitsy or directly through BCNSW eCert. Attach the accepted copy to the claim and make sure its details match the completed job. Read NSW guidance on CCEW lodgement.

Upload the required evidence

Attach clear evidence to the correct job bucket while you are on site where possible.

  • Review the photo buckets that appear after Compliance is complete and upload every mandatory photo directly in Alitsy.
  • Add useful supporting evidence, including audio only when it is required, and make sure each file is attached to the correct equipment or evidence bucket.

Get final sign-off and submit

Check the complete job before you send it for review.

  • After the install is complete, obtain the customer’s final sign-off and the installer or fridgie sign-off where required.
  • Select I am done to submit the claim. Monitor Notes for requests for information.
  • Respond to requests for information in the desktop app or mobile browser version, not the mobile app.
